How Dragonfly Delivery reviews shipment details, coordinates dispatch, confirms routes, and manages freight communication.

1. Shipment intake

Requests begin with pickup, delivery, freight type, dimensions, weight, timing, access notes, and contact information.

2. Dispatch review

Dispatch reviews route distance, vehicle suitability, timing pressure, freight size, dock/tailgate requirements, traffic exposure, and wait-time risk.

3. Quote confirmation

Pricing is confirmed after operational requirements are understood, reducing vague estimates and quote surprises.

4. Pickup and delivery communication

Pickup readiness, receiver contact, appointment timing, delivery instructions, and proof-of-delivery expectations are coordinated before or during service.

How Dispatch Coordination Works at Dragonfly Delivery

Every successful delivery begins with a well-executed dispatch process. At Dragonfly Delivery, dispatch coordination is the operational core of the business — the process that takes a shipment request and converts it into a confirmed, executed delivery with proper documentation. Understanding how this process works helps you submit better requests, get faster confirmations, and have more predictable delivery outcomes.

Step 1: Shipment Intake

Every job begins with a request submitted through the dispatch intake form or by phone. The intake collects the information dispatch needs to evaluate the job: pickup address and contact, delivery address and contact, freight description including weight and dimensions, number of pieces or pallets, access conditions at both ends, required timing and delivery deadline, priority level, and any special handling requirements. The completeness of the intake information directly determines how quickly dispatch can confirm pricing and scheduling. Incomplete requests require follow-up before confirmation can be issued.

Step 2: Dispatch Review

Once intake information is received, dispatch reviews the job for route feasibility, vehicle suitability, timing availability, equipment requirements, and access conditions. For standard GTA and Ontario routes, this review typically takes minutes during business hours. For complex requests — multi-stop routes, oversized freight, tight timing windows, non-standard access requirements — review may require additional information before a confirmed quote is issued.

Step 3: Confirmation and Pricing

Dispatch issues a confirmed quote based on actual route distance, vehicle requirements, equipment needs, timing commitment, and access conditions. The quoted price is the price — there are no fuel surcharges added at delivery, no access condition adjustments made after the fact, and no re-pricing based on weight estimates being wrong unless the actual freight differs substantially from what was declared at intake. Pricing integrity is a core operational standard at Dragonfly Delivery.

Step 4: Dispatch and Communication

Once confirmed, the job is entered into the dispatch schedule and the driver is assigned based on route, timing, and vehicle requirements. You receive confirmation with the assigned vehicle and approximate arrival window. During the job, direct communication is available — you can reach dispatch or the driver if circumstances change at the pickup or delivery location. This direct communication model is one of the key differentiators between Dragonfly Delivery and larger carriers where driver communication is managed through a dispatch layer that is not accessible to the client.

Step 5: Delivery and Documentation

On delivery, the driver completes the handoff with a signed Proof of Delivery document. The POD confirms what was delivered, when, and to whom. A professional invoice is issued following completion of each job. For commercial account clients, documentation can be consolidated across multiple deliveries in a billing period if that structure is preferred.

After-Hours and Urgent Requests

For urgent requests outside standard business hours, call or text 647-988-2512 directly. Urgent and same-day dispatch availability depends on current schedule and route — the earlier in the day the request is made, the more options exist for same-day execution. After-hours requests received by text will be reviewed and responded to as early as possible the following morning if same-day execution is not feasible.
